Glossary of words

Learn about some of the words used in Vernon CMS.

A

Authority field

A field that lets you select from a list of authority terms (records). See Authority fields.

Authority file

A file that contains the authority terms (records). See Authority files.

Authority Options window

A window that displays the list of terms (records) available for an authority field or authority file. See Authority Options window.

Authority term

An individual term available in an authority field. The terms are records in the authority file. See Authority terms.

D

Datafile

Another word for file.

Datafile security

A way of controlling access to files, records, and fields in Vernon CMS. See Datafile security.

F

Field

A specific area in a window where you enter data. See Types of fields for data entry.

File

A database file that stores records. See Files in Vernon CMS.

I

Index

A tool used in the background to speed up searching. Very similar to an index in the back of a book. See Index Maintenance tool.

M

Menu bar

A part of the Vernon CMS interface that lets you access common functions and tools. See Menu bar.

Module

A large functional section of Vernon CMS. The Cataloguing module is part of every system. There are three add-on modules: the Browser module, the Web Messenger module, and the Activities module. N

Navigator

A part of the Vernon CMS interface that lets you access files and their windows. See Navigator.

O

One Line Display

A summary of the record at the top each data entry window. See Change the One Line Display.

P

Portfolio

A tool that lets you save, manage, and share lists, searches, and templates. See Portfolio.

Procedural status

The legal status of an object. Also the stage of an activity in its procedure. See Procedural Status field.

Process security

A way of controlling access to windows, menus, and buttons in Vernon CMS. See Process security.

R

Record

A collection of data that is organised in a group of fields, relating to a specific topic, such as an object, person, event, location, place, and so on. Each record has its own unique System ID.

S

Security

A way of controlling user and group access to information and features in Vernon CMS. See Security.

Status bar

A part of the Vernon CMS interface that lets you see key information about the system. See Status bar.

System ID

A unique identifier for every record. See System ID field.

T

Tab

A clickable element at the top of a window that shows another set of fields and information.

Table

Any field that contains more than one row. Usually a table contains multiple columns of fields. See Tables.

Term Usage Control

A way of controlling how authority terms are used. See Control the use of an authority term.

Tool

A program that lets you perform tasks. See Tools in Vernon CMS.

Toolbar

A part of the Vernon CMS interface that lets you quickly access common tools. See Toolbar.

U

User

A username that a person can log into Vernon with. See Users.

User defined field

A custom field that you can configure for your organisation. See Create a user defined field.

User Symbolic

A symbolic field that you can create to perform an immediate calculation on your data to do a variety of tasks. See User Symbolics.

User view

A single customised view of certain fields in one place. See Create a user view.

W

Window

A rectangular display area used by files and tools in Vernon CMS. Windows can be moved, resized, hidden, or maximised. See Window area.

X

XML

Extensible markup language. A method of storing and importing data to Vernon CMS. See Create and update records in bulk with XML Import.
