Tables

A table in Vernon CMS is any field that contains more than one row. Usually a table contains multiple columns of fields.

Overview

Some fields contain related information and are therefore grouped together to form tables. These tables are made up of rows and columns. Tables are unlimited in the number of potential rows or entries. You can view further rows using the arrow keys or scroll bar at the right of the table.

When your cursor is in a table, the status bar will show which row of the table you are on, as well as the total number of rows that have data entered. For example:

  • Multi 2/2 means your cursor is in the second row of a total of two rows of data.

  • Multi 2/5 means your cursor is in the second row of a total of five rows of data.

Examples

Multi-value field

A multi-value field has multiple rows and allows multiple entries. You can edit it in the same way as tables with multiple columns. That is, you can insert rows, delete rows, and reorder it.

An example of a multi-value field is the Object Type field.

A table has multiple columns of fields and multiple rows. An example of a table is the Valuation Details table.

Edit mode

You can turn on and turn off edit mode for tables.

Edit mode: Off

When you first click into a field in a table, you'll see a blue border around the cell. This shows that edit mode is turned off.

With edit mode turned off you can:

  • Press the Tab key or arrow keys to move between cells.

  • Insert or delete full rows in the table by pressing the Insert or Delete key.

  • Delete the contents of a cell by pressing the Backspace key.

Edit mode: On

Turning edit mode on lets you enter, edit and delete the content of a particular cell. Edit mode will automatically be turned on if you start entering data in an empty cell.

To turn edit mode on in a cell that contains data, click in the cell and press the F2 key or double-click with the mouse. You can press F2 again to turn edit mode off.

Undo changes in a table

  • If you accidentally delete data from a field in a table, you can restore it by pressing Ctrl+Z.

  • If you accidentally delete an entire row of a table, you can go to the File menu and click Undo Window. This will restore the current window to the state it was in before you began the current data entry session in that window.

Insert a table row

With edit mode turned off, click into the row that you want to insert a row above, and press the Insert key.

Add a row to the bottom of a table

With edit mode turned off, click into the last row of a table, and press the Down arrow key.

Delete a table row

With edit mode turned off, click into the row that you want to delete, and press the Delete key.

Reorder a table

  1. Click into the table you want to reorder.

  2. Go to the Edit menu and then Reorder Table.

  3. Choose to sort manually (using the Reorder tool) or with List Manager.

When viewed as part of a record, a table may only show a small amount of the data it contains. To view more of the table, go to the Edit menu and then click View Table. This will open the View table window which displays all the fields in the table in an expanded format. You can't edit the table.

To view and edit each row and its fields individually, go to the Edit menu and then Maintain Table.
