Authority Options window

You can view and select the authority terms within an authority field or file with the Authority Options window.

Overview

The Authority Options window lets you select terms that are available in an authority field.

To open the window, click into an authority field and then click  Options.

The Authority Options window opens automatically whenever there is more than one matching term.

View authority terms

The Authority Options window will show all terms available, unless there are more than 100 terms. That's because showing more than 100 terms can slow Vernon CMS down.

To show all terms, click the Show all available terms button:
To display the System IDs next to each term, tick Show IDs.
To select all terms related to each other, tick Include Associated Terms.

Select authority terms

Select a term for a field by checking the box next to the term.
If the authority field is multi-valued (has multiple rows), you can select multiple terms.
You can view and reorder the list of terms you have selected by clicking View Selected Terms.

Highlight an authority term

Highlight a term by clicking on the term.
Highlighting a term lets you use other functions in the Authority Options window.
For example, you can highlight a term, then click Go to highlighted term to open the record for the term. See the list of buttons below.

Search for authority terms

You can try searching for the term you're looking for in the search field at the top of the Authority Options window.

There are three search options:

Starts With is the default setting and will look for terms that start with what you entered.
Full Word will only look for terms that contain the full word you entered.
Sounds Like will look for words that sound similar to the word you entered.

Buttons

You can change your view of the authority terms and create terms using the buttons in the Authority Options window.

Here's what each button does.

Button	Name	Action
	Show all available terms	Shows all available terms in the authority file.
	Show top terms	Shows the top terms in the hierarchy.
	Up one level	Shows the next higher term for the highlighted term.
	Show current term	Shows the current term used in the field.
	Advanced Search	Opens Advanced Search on the authority file.
	List Manager	Opens List Manager with a list of the authority terms.
	Go to highlighted term	Opens the highlighted term's record.
	Create new authority term	Create an authority term in the authority file.
	Create new narrower authority term	Create a narrower authority term of the highlighted term.
