Object file

The Object file is the main file in Vernon CMS where you can enter all the information about the objects in your collection.

Overview

The Object file contains over 400 fields in more than 20 windows that capture a wide variety of information about every item.

Object records can link to most of the other files in the system. You can link to the people, events, sites, photos, and documents that are related to the object.

Windows in the Object file

Object - Identification

For recording the primary information including its procedural status, accession number, name or title, and artist or maker.

Object - Accessory

For recording accessories for objects such as stands, digital projectors, and dust jackets.

Object - Acquisition, Provenance & Rights

For recording an object's acquisition, provenance, and rights.

Object - Administration & Risk Assessment

For recording restrictions, significance, comments from registrars and curators, and any risks to objects or hazards in objects.

Object - Archive Series

For recording an overall archive series, or the grouping or archival materials.

Object - Archive File/Item

For recording the files and items that sit below the archive series.

Object - Classification History

For recording the current classification and any previous classifications.

Object - Condition & Treatment

For recording conditions and treatments of objects and measuring light exposure.

Object - Correspondence History

For viewing the history of correspondence about an object.

Object - Creation & Production

For recording how an object was created and produced, including primary and secondary production details such as makers, places, techniques, periods, and usage.

Object - Deaccession & Disposal

For recording an object's deaccession status, reason, method, authoriser, and any proceeds.

For viewing all of the Diary records linked to an Object record.

For recording links to Document records and external files such as those on your server or a website.

Object - Exhibition & Loans

For recording exhibitions, loans in, and loans out.

Object - Field Collection

For recording information about objects collected in the field, including method, collector, date, place, site, habitat, datum, latitude, longitude, altitude, and depth.

Object - Group/Member & Related Objects

For recording relationships between object records, whether at the same level or hierarchical.

Object - Library

For recording books and other publications with library-specific details, including ISBN, publisher, and edition.

For recording the current location, inventory location, and usual location of an object.

For recording an object's relationship with files in the Activities module.

For recording an object's medium or material, measurement reading, and support, packing, and storage requirements.

For recording links to Photo/Audio-Visual records.

For recording an object's shape, colour, technical type, age, sex, language, decoration, and other physical aspects.
