Diary window

The Diary window is available in the Object file and all Activity files.

Overview

The Diary window allows you to view all of the Diary records linked to that Object or Activity record.

The History table displays every procedural status that an Object or Activity record has had.

The Schedule table shows future procedural status changes. These are specific to the Object or Activity file you are in and the rules that apply for the current procedural status.

How procedural control and the Diary file work together

Although procedural control and the Diary file are distinct, there is significant integration of the two in the following ways:

  • You can assign Diary tasks for a procedural status. It could be a requirement that tasks be completed before a procedural status is changed. For example, before an object is accessioned it must have the Label object tasks and Photograph object tasks completed.

  • Tasks can be brought to the user's attention when the procedural status is changed. This prompts the user to schedule these tasks in the Diary window of the Object or Activity record. For example, on entering details of an Acquisition Proposal record, the user may be offered a 'to do list of common tasks such as Allocate funds or Check validity of title.

  • The status history is preserved on the Diary file.

  • Future procedural status changes for an Object or Activity record can be scheduled.
