How procedural control works

Procedural control manages the order of your Procedural Status terms and any actions, reports, tasks or messages associated with a status.

Overview

An Object record or Activity record can have a Procedural Status term that indicates its legal or current status. These statuses are like the life cycle of an object or activity within your institution.

These statuses are authority terms in the Procedural Status field. Each term is a record where you can set next statuses, rules, and actions.

Procedural flow

A common procedural flow is that an Object record begins as a Considered Item, becomes Accessioned when it is part of your collection, then becomes Deaccessioned if it ends up no longer being part of the collection.

An Activity file such as Exhibition Venue may have these statuses in this order:

  • Proposed

  • In Planning

  • Installation

  • On Show

  • Closed

Procedural rules and actions

After a record is saved, depending on the Procedural Status, your procedural control could automatically:

  • Generate a report

  • Send an email

  • Assign tasks

You can also decide that certain fields in a record must be completed before the record can be saved with that Procedural Status.
