Set up a procedural report

You can add a report template to your Procedural Status. When the record is saved with that Procedural Status, the report will automatically run for the user who changed the status.

Before you begin

Create the report template that you want to run automatically and then save it. It can be any type of report.

Step 1: Open the Procedural Status term

  1. Go to the Database menu and click Other Files.

  2. In the Other field, enter status and press Enter on your keyboard.

  3. From the list of Procedural Status files, select Object: Procedural Status (or the Activity Procedural Status that you want, such as Outward Loan: Procedural Status) and click OK.

  4. With the Procedural Status file window open (for example, the Object: Procedural Status window), click Advanced to open a list of your status records.

  5. Select the Procedural Status term and click OK.

Step 2: Add the report to the Procedural Status

  1. In the Procedural Status record, go to the Reports tab .

  2. In the Report column, click Options to select the report template.

  3. Optional: If your report draws data from a file outside the one you are working in, then in the ID Field column, you'll need to specify the field that links the two files. For example, if you want to report on the artist of an object, enter Person, and then select Associated Person.

  4. Optional: In Message, enter a message to display to the user before the report is run. For example, you could tell them to load special stationery into the printer.

  5. Click Save.

Tip: You can also run a report for any record with that Procedural Status by going to the Report menu > Quick Reports.
