Search across files

You can start a search in one file, then branch to another file to search on some aspect, then return to your original file.

Examples

Search the Object file for some aspect of a Person record

To search for all the artworks in your collection that are made by artists from the United Kingdom:

  1. Start an Advanced Search on the Object file.

  2. Select Primary Maker as your search field.

  3. Click Options to branch across to the Person file to search on the Place of Birth field for United Kingdom.

Search the Outward Loan file for some aspect of an Object record

To search for all the outward loans with objects from the Social History department:

  1. Start an Advanced Search on the Outward Loan file.

  2. Select Object as your search field.

  3. Click Options to branch across to the Object file to search on the Department field for Social History.

Steps

  1. Click Advanced on the toolbar.

  2. In the list of Search Fields, select an authority field and click Next.

  3. Click Options to open the second Advanced Search window. For example, when searching the Primary Maker field this will open Advanced Search on Person.

    • If the field is connected to an authority file with a small number of records, the Authority Options window will open instead of the Advanced Search window.

    • In this case, click the Advanced Search button in the Authority Options window.

  4. In the second Advanced Search window, search the file.

  5. When you have finished searching, click Finish.

  6. If your search results show in List Manager, click OK.

  7. Your results will return to your original search.

  8. Click Next to see the number of search results and optionally refine your search.

  9. Click Finish to open your results in a browse list.
