Format a Listing report template

Learn about the different formatting options available for Listing report templates.

Page settings tab - Field (Across the page) orientation

Formatting option Notes
Font

Change font type, style, size, and colour for the whole report.

Background

Change background colour.

Header or footer
  • Add header or footer.

  • Align centre.

  • Change font type, style, size, and colour.

  • Insert date, time, page number, or file name.

Printer and page setup

Change printer, paper size, orientation, and margins.

The Page Settings tab contains additional options for Group (Down the page) report orientations.

Formatting option Notes
Images

Images will be included in the report.

Caption

A caption will display beneath images, showing data from the Caption field in the Photo/Audio-Visual record.

Primary Only

Only the first image attached to each record included in the report will display.

Original
  • Original images will be used in the report.

  • This will not result in a full scale image. Instead, your original images will be resized to fit the space allocated to images (as specified in the column proportions section of the Layout tab).

  • Images will be of a higher quality, however the file size of your report may be significantly larger than if you were to use derivatives or thumbnails.

Thumbnail
  • Thumbnail images will be used in the report.

  • Images will be of a lower quality than if you were using original images, but the file size of your report will be significantly smaller.

  • If you are creating a report with a large number of images, using thumbnails may mean the report will take less time to generate.

Derivative
  • Image derivatives will be used in the report.

  • You may wish to use derivatives in a Group (Down the Page) report if using the original images results in a report that is too large, and thumbnails are not of a high enough quality.

  • The size of the images (as they appear in the report) will be determined by the Images column on the Layout tab.

Publication Level

Specify a Publication Status for the images.

Column proportions

Group (Down the page) orientation only

Adjust the space for field labels, data and images.

Images

Group (Down the page) orientation only

  • Set images to display underneath field labels and data (by default, images display at the side).

  • Set images to display at full size.

Separators

Group (Down the page) orientation only

Add a separator (horizontal line) between groups, rows and fields.

Blank lines

Add extra spacing between fields.

Vertical lines

Add vertical lines between each column.

Page breaks

Add page breaks between records (start each record on a new page).

Splitting records

Split records across page boundaries.

Numbering records

Sequentially number records down the left-hand side of the page

Grand total

Field (Across the Page) orientation only

  • If you have added a Total or Average to a field or column in the report, the Grand Total box can add a description for the end value. For example, "Grand Total" or just "Total".

  • Bold or italicise the grand total.

  • Start the grand total on a new page.

Suppress report detail

Field (Across the Page) orientation only

  • If you add a Break-on with a Total, Average or Record Count to a report, this setting will hide individual record fields, and just display statistical data.

  • For example, you may want to run a report on valuation by department, but do not require a list of all the objects and their individual valuations.

Record count

Add a record total at the end of the report, or at the end of each section (when used in conjunction with a Break-on).
