View your user security setup

You can view a summary of a user's datafile security and process security. The user record must be saved first.

Steps

  1. Go to Tools > System Maintenance > Security Tool.

  2. Click Users.

  3. In the Security - User window, in the User name field, select the user.

  4. Click View Process Security.

  5. The Currently defined processes window shows the allowed processes for the user. Click to close the window.

  6. Click View Datafile Security.

  7. The Secured Datafiles window shows the secured files, records, and fields for the user. Click to close the window.

    • The Record Level table shows whether the user can create, delete, view, or modify a record.

    • The Field Level table shows whether the user can view or modify a specific field in a record.

Note: If you see something other than Yes or No, this is a custom formula for your site. It's called a Depends routine and it decides whether a user can create, delete, view or modify depending on specific criteria. For example, they can modify a Natural Science record, but not a Human History record. If you see a Depends routine, you can send a screenshot to support@vernonsystems.com and we can help determine what has been set up.

Tip: To view the security setup for all users, you can run a security report. See Report on your security setup.
