View your group security setup

You can view a summary of a group's datafile security and process security. The group record must be saved first.

Steps

  1. Go to the Tools menu, then System Maintenance, then click Security Tool.

  2. Click Groups.

  3. With the Group Security window open, in the search bar, enter the name of the group and press Enter. Or click Advanced on the toolbar to select from a list of your groups.

  4. Click View Datafile Security.

  5. The Secured Datafiles window shows the secured files, records, and fields for the group. Click to close the window.

    • The Record Level table shows whether the group can create, delete, view, or modify a record.

    • The Field Level table shows whether the group can view or modify a specific field in a record.

  6. Click View Allowed Processes.

  7. The Allowed Processes window shows the allowed processes for the group. Click to close the window.

  8. Click View Disallowed Processes.

  9. The Disallowed Processes window shows the processes that are forbidden to the group. Click to close the window.

Note: If you see something other than Yes or No, this is a custom formula for your site. It's called a Depends routine and it decides whether a group can create, delete, view or modify depending on specific criteria. For example, they can modify a Natural Science record, but not a Human History record.
