Update the indexes

You can update the indexes to improve system performance and reduce the time it takes to retrieve the results of searches.

Overview

When you conduct a search in Vernon CMS, the system updates the related index with any pending transactions before returning your results. If a field is rarely searched, these transactions can build up which may mean the system takes longer to return search results.

The time required to update indexes manually will vary depending on the number of transactions that need processing, but on average it should take less than ten minutes. It's not necessary to have all users logged out of the system when updating indexes, however you may like to perform this task at a time when the system is not being heavily used.

Note: You do not need to follow these instructions if you have a Vernon CMS session that runs background indexing. For more information, see Manage your indexing session.

Steps

  1. Go to the Tools menu and click Update Indexes.

  2. In the Index Maintenance window, ensure the Update option is selected.

  3. Select your update setting:

    • If you want to update a specific index, select the file from the Available Files list. Then select the field to update from the Available Fields list by highlighting the field and clicking Add. To add all fields, click Add All.

    • If you want to update all indexes, don't select any field or file.

  4. Click the Update button.

  5. A dialogue box will show a progress bar, and the status bar will show that the indexes are currently updating. When the update is complete, the dialogue box will disappear and the status bar will display the word Ready.

Warning: Do not select the Rebuild option unless we advised you to. Rebuilding is a much more lengthy process. All other users must be logged out before you rebuild the indexes.
