Add an image

You can attach any number of image, sound, and video files to records in the Object, Person, Document, Event, Packing Unit, Site, and Activity files.

Overview

You will start in the record you want to add an image to. For example, an Object record or Person record. From the Photo/Audio-Visual References window in that file, you'll open a new record in the Photo/Audio-Visual file where you can link your image.

Once you save the Photo/Audio-Visual record, your image will appear in the Photo/Audio-Visual References window of your original record.

Steps

  1. Open the record that you want to attach an image or audio-visual file to. For example, open an Object record.

  2. Open the Photo/Audio-Visual References window for that record. For example, the Object - Photo/Audio-Visual References window.

  3. Click into the next empty row in the table.

  4. Click Go To on the toolbar to open the Photo/Audio-Visual - Identification window.

  5. Under Digital, click into the Filename field and click the folder button to open File Explorer and find the file you want to add. Alternatively, drag and drop the file from the folder into the display box in the bottom right. The folder must be shared between all Vernon users (not a personal desktop folder).

  6. Add any other details about the image or audio-visual file, such as a caption, or rights associated with it. The caption will be visible below the image when it is displayed on a record.

  7. Click Save to save the Photo/Audio-Visual record, then close the Photo/Audio-Visual - Identification window. The image or audio-visual file will then be linked to your record, and you will see it in the Photo/Audio-Visual References window.

  8. Optional: To change the order of the images in the table, go to the Edit menu and click Reorder Table. The first image in the table is the primary image.

  9. Click Save to save your record with the linked image.
