Procedural control actions

You can use procedural control actions to make the system perform an action at a certain procedural status.

Overview

You can set an action for the system to perform as part of the procedural control for a procedural status. When a record is saved with a status, the user can carry out the action or bypass it.

Some common actions are:

  • Open the Bulk Move tool for all Object records in an Activity record.

  • Send an email to the person in the Borrower field.

  • Update information in an Object record from an associated Activity record.

There are two types of actions: system actions and email actions.

  • System actions are listed below. If you would like a new action, contact us at support@vernonsystems.com.

  • Email actions initiate an email with the details you specify.

Bulk Move to the borrower

This action takes a list of the Objects in an Outward Loan record and opens the Bulk Move tool when the loan reaches a specific status.

For example, when an Outward Loan record is saved with the status Objects Fully Dispatched, the Bulk Move tool could open with the External Location field set to be the Borrower.

Bulk Move back to the lender

This action takes a list of the Objects in an Inward Loan record and opens the Bulk Move tool when the loan reaches a specific status.

For example, when an Inward Loan record is saved with the status Objects Fully Returned, the Bulk Move tool could open with the External Location field set to be the Lender.

Bulk Move of Transport Crates

This action takes a list of Packing Units (and their contained Objects) from a Transport/Movement record and opens the Bulk Move tool when the activity reaches a specific status, for example Completed.

Bulk Move to any location

This action takes a list of the Objects for any specified status in any of the following files and opens the Bulk Move tool:

  • Acquisition Proposal

  • Condition Report

  • Entry

  • Exhibition Venue

  • Exit

  • Inward Loan

  • Outward Loan

  • Treatment

  • Transport/Movement

Bulk Move to Usual Store

This action takes a list of the Objects for any specified status in any of the following files and opens the Bulk Move tool with the Location set to Usual Store, which updates the location of each object to the Usual Location recorded for it at the time.

  • Acquisition Proposal

  • Condition Report

  • Entry

  • Exhibition Venue

  • Exit

  • Inward Loan

  • Outward Loan

  • Treatment

  • Transport/Movement

Raise Treatment

This action raises a Treatment record from a Condition Report record with the initial details copied over.

Update Entry Receipt from Acquisition Proposal

This action updates data in a related Entry record from an Acquisition Proposal record.

Update Object Record Condition

This action copies data from a Condition Report record into the related Object records.

Update Objects’ Acquisition Data

This action copies data from an Acquisition Proposal record into the related Object records.

Update Object treatment details from Treatment activity

This action copies data from a Treatment record into the related Object records.

Update Related Records

This action copies data from any Activity record into the related Object records. For example, when an Inward Rights record is saved, it could update the Rights table in the Object records.

Update Object Status

This action opens the Bulk Procedural Control Status Update tool with the list of all Object records associated with the current Activity record. The window can be pre-filled with a specific status such as Accessioned. None of the usual procedural control checks will take place, nor will any of the associated reports or actions be carried out.

Copy AV Records

This action copies the primary image link of an Object record into any of the following Activity files. For example, in a Condition Report, add a link to the object's primary image.

  • Outward Rights, Reproduction & Use
