Select a random set of records

You can select a set of random records from your system. This is useful when auditing your records for data quality.

Overview

There may be times when you want to retrieve groups of records to get a representative sample as opposed to specifically selected records.

For example:

  • When a new staff member wishes to become familiar with the collection and does not yet have a frame of reference from which to construct a search query.

  • In educational situations.

  • When auditors wish to check records and require sample inventories.

Steps

  1. Go to the Tools menu, then Utilities, then Random Record Selection.

  2. In File Name, enter the file you want to select records from. For example, Object.

  3. In No. of Records To Select From File, enter the number of random records you would like. You can enter a number or a percentage. If you enter a large number, it may take the system a few minutes to return all the records.

  4. Click OK. The randomly selected records will open in List Manager.
