Set your loan renewal preferences for activities

You can set the procedural statuses and fields to use when renewing your inward or outward loans.

Overview

The Inward Loan Renew and Outward Loan Renew tools allow you to manage the renewal process. When a loan is renewed, the system automatically creates a new record for the renewed loan with relevant details transferred from the original loan record. The original loan record can then retain the details, such as the original start and end dates, for the first phase of the loan.

There are several details about the loan renewal tools that you can configure:

  • The procedural status that a record must have in order to be able to use the loan renewal tools.

  • The procedural status that will be given to the original loan record.

  • The procedural status that will be given to the record for the renewed loan.

  • The fields that will be copied from the original loan to the renewed loan record.

Steps

  1. Go to the Tools menu, then System Maintenance, then click Activities Configuration.

  2. Go to the Loan Renewal tab.

  3. Under Inward Loans and Outward Loans, in each of the procedural status fields, click Options to select the procedural status and click OK.

    • In Renewal Approved, enter the status at which the Loan Renewal tool should be enabled.

    • In Renewal Loan Generated, enter the status that should be assigned to the original loan record when a loan is renewed.

    • In Renewed Loan, enter the status that should be given to the new (renewed) loan.

  4. Under Inward Loans and Outward Loans, in the tables, tick the boxes next to the fields that you would like to be transferred from the original loan to the renewed loan record.

  5. Click OK.
